How we work

A hotel sells inventory that moves through a channel manager to Booking.com, Expedia and a GDS for corporate travel at the same time. A booking engine on the hotel's own site is only as good as its sync with those channels, since a room sold on an OTA an hour ago must vanish from the direct engine immediately, or the front desk ends up walking a guest to a competitor's property at ten at night.

Rate logic adds a second layer generic booking software doesn't model. A single room type can carry a best-available rate, a non-refundable discount rate, a package bundling breakfast or parking, and a negotiated corporate rate, each with its own cancellation window and deposit rule. Rate parity agreements with major OTAs typically restrict how far the direct engine's price can undercut what's listed elsewhere, so the incentive to book direct usually comes from added value, a free upgrade, no booking fee, flexible cancellation, rather than a lower headline price.

We build booking engines wired into the property's channel manager and PMS so direct, OTA, and GDS inventory stay in one system of record, with rate plans, deposits, and cancellation policies enforced the same way regardless of which channel a guest books through.

Requirements

What travel & hospitality teams need from it

  • Two-way channel manager sync to prevent overbooking

A room sold through Booking.com or Expedia has to disappear from the direct engine within the sync window the channel manager supports, and a room booked directly has to push back out to every OTA the property lists on, or the same room ends up promised to two guests.

  • Rate plan logic beyond a single price per night

Best-available rate, non-refundable discounts, packages, and negotiated corporate rates each need their own deposit rule, cancellation window, and length-of-stay restriction, computed correctly at the moment of booking rather than applied as a flat markdown.

  • Rate parity compliance with OTA agreements

Contracts with major OTAs commonly restrict how much cheaper a direct rate can be, so the incentive to book direct has to come from added value, free breakfast, no booking fee, better cancellation terms, layered on top of a compliant price rather than an outright discount.

  • PMS integration so the front desk sees what the engine sold

A reservation made through the booking engine has to land in the same property management system the front desk works from, with room assignment and folio setup handled automatically rather than re-keyed from a separate booking confirmation email.

  • Group and multi-room booking for blocks and events

A wedding block or a corporate group booking needs to hold a set of rooms against a shared code or contract, with its own deposit schedule and attrition terms, which a single-room booking flow doesn't handle without a separate group module.

Scope

Features we build

  • Real-time inventory sync with the channel manager

Room availability updates across the direct engine, OTAs, and GDS within the channel manager's sync window, so a sale on one channel closes out the same inventory everywhere else.

  • Rate plan and package management

Best-available rate, non-refundable, corporate, and bundled package rates each carry their own price, deposit rule, and cancellation window, computed automatically at checkout.

  • Deposit collection and cancellation policy engine

Deposit amount and refund eligibility apply automatically based on the rate plan booked, removing the front desk's need to manually track which guests qualify for a refund.

  • PMS-synced reservations

Bookings write directly into the property's PMS with room type, rate, and guest details attached, so front-desk staff see the same reservation the engine created without re-entry.

  • Length-of-stay and multi-room booking rules

Minimum-stay restrictions and multi-room bookings for a single trip apply correctly across the requested date range, rather than checking availability one night at a time.

  • Group block booking for weddings and events

A block of rooms holds against a shared code with its own deposit schedule and attrition date, letting guests book individually against the group's negotiated rate.

  • Upsell at the point of booking

Room upgrades, early check-in, and add-ons like parking or breakfast are offered during checkout, increasing revenue per booking without a separate follow-up email.

  • Multi-property search for hotel groups

A chain or group with several properties can offer one search across all locations, with consistent rate display and availability rather than a separate microsite per hotel.

Build vs buy

When to build it and when to buy it

Cloudbeds' booking engine, SynXis, and Little Hotelier cover a single independent property or a small group well, bundling the booking engine, channel manager, and PMS into one subscription that's usually cheaper and faster to launch than a custom build. For a property without unusual rate logic or a loyalty program to integrate, one of these is the sensible starting point.

Custom development earns its cost when a hotel group needs the engine tied to a specific loyalty program those platforms don't support natively, when rate and inventory logic must match a PMS the group already standardized on, or when group block and corporate rate management need rules those bundled platforms handle only as a rigid template.

FAQ

Frequently asked questions

How does a hotel booking engine stay in sync with OTAs like Booking.com and Expedia?

The engine connects through a channel manager such as SiteMinder, which pushes rate and availability updates to every connected OTA and pulls bookings made on those channels back into the same inventory. A room sold on either side closes out everywhere else within the channel manager's sync window.

Can the booking engine enforce rate parity agreements with OTAs?

Yes, pricing rules can be built to respect a property's rate parity commitments while still layering non-price incentives, free breakfast, flexible cancellation, no booking fee, onto the direct rate, which keeps the property compliant without giving up a reason for guests to book direct.

Does the booking engine need to integrate with our existing PMS?

Yes, and this is usually the most important integration in the build. A reservation made through the engine should land directly in the PMS the front desk already works from, with room assignment and folio setup handled automatically rather than requiring staff to re-enter a booking from a confirmation email.

Can guests choose between non-refundable and flexible cancellation rates?

Yes, each rate plan carries its own cancellation window and deposit rule, and the correct policy applies automatically based on which rate the guest selects at checkout, rather than a single cancellation policy applied to every booking regardless of rate type.

How does the system handle group bookings for weddings or corporate events?

A block of rooms holds against a shared booking code tied to a negotiated rate and attrition date, and individual guests can book their own room against that block without the group organizer handling each reservation manually.

Should we use Cloudbeds' booking engine or build a custom one?

Cloudbeds and similar bundled platforms are the right call for an independent property or small group without unusual rate logic. Build custom when the engine needs to integrate with a specific loyalty program, match a PMS the group already standardized on, or support group and corporate rate rules those bundled tools handle rigidly.
